      1. CONTRACT(Required)
      The following rules and regulations become binding upon acceptance of this contract between the applicant (Vendor), its employees and agents, and the Chattahoochee Nature Center (CNC). The Vendor also assumes full responsibility for complying with any local, city, state, and federal regulations regarding permitting, sales, taxes, fire, electrical wiring, safety, and/or health. [Subject to City of Roswell and Fulton County codes]
      2. SPACE ASSIGNMENTS(Required)
      Space will be assigned to Vendors. CNC reserves the right to assign or alter exhibit locations as it deems advisable and in the best interest of the event. The CNC does not guarantee access to Wi-Fi.
      3. PAYMENTS(Required)
      Vendor Fees are explained on the Vendor info sheet. Payments can be made online and MUST be received by August 29, 2025.
      4. CANCELLATIONS(Required)
      Cancellations must be requested in writing and received on or before September 5, 2025. Requests should be made to: Tamara Kinmon, t.kinmon@chattnaturecenter.org. All registration refunds are subject to a 15% administrative fee. Please allow 2-4 weeks for a refund. No refunds processed after August 21, 2025.
      5. SAFETY(Required)
      Any/all electrical equipment, including signs and lights, shall be in good operable condition and able to pass the inspection of the local Fire Underwriters Inspection Bureau. Each Vendor agrees to be knowledgeable and responsible regarding ordinances and regulations pertaining to health, fire prevention, and public safety while participating in this festival.
      6. USE OF VENDOR/PARTNER SPACE(Required)
      (A) Over-the-counter sales are defined as a transfer of goods for money, check, draft, or other kinds of payment. These sales will be permitted in accordance with facility, local, city, state, and federal regulations. These transactions must be made by the Vendor –CNC is unable to assist with transactions. (B) Distribution by the Vendor of any printed matter, souvenirs, or other articles must be confined to the assigned space. No undignified manner of attracting attention will be permitted. All exhibits must fit in the space provided. (C) Vendors shall reflect their company’s highest standards of professionalism while maintaining the space during the event. (D)Vendors shall arrange their exhibit so it does not obstruct the general view or hide the exhibit of others. (E) Vendors shall distribute products in environmentally friendly materials (compostable plates, bowls, cups, and flatware) and will NOT use Styrofoam or other similar non-biodegradable products. CNC will provide access to electricity in order to eliminate the need for a generator.
      7. SECURITY/LIABILITIES/INSURANCE(Required)
      Neither will CNC, their members, nor the representatives and/or employees thereof be responsible for any injury, loss, or damage that may occur to the Vendor, or to the Vendor employees or property, from any cause whatsoever, prior to, during or subsequent to the period covered by this application/contract.
      8. NON-DISCRIMINATION AGREEMENT(Required)
      Vendors may not refuse service to any market guest based on based on race, color, religion, sex, national origin, ancestry, disability, marital, family, pregnancy status, sexual orientation, gender identity, gender expression, veteran or citizenship status.
      9. AMENDMENTS TO REGULATIONS(Required)
      Any and all matters and questions not specifically covered by the articles in this contract shall be subject to the decision of CNC. They may, in the interest of the event, amend the aforementioned items covered by this contract at any time and notice thereof shall be binding on Vendor equally with the foregoing rules set forth in this contract. CNC reserves the right to refuse space.

      Interested in being a vendor? The 2025 Holiday Market vendor application is now open. Vendors who book before the end of 2024 will get grandfathered into 2024 booth pricing! Vendors who submit their application after the deadline (10/11/2025) will be responsible for providing their own tables and tent.

      Cancellations must be requested in writing and received on or before November 7, 2025. Requests should be made to: Fabiola Clermont – specialevents@chattnaturecenter.org. All registration refunds are subject to a 15% administrative fee. Please allow 2-4 weeks for refund. NO refunds will be processed after November 14, 2025. Vendors will be notified as soon as possible if the event is canceled or rescheduled. The vendor will be eligible for a full refund or the reservation and payment will be valid for a new rescheduled date as determined by CNC.

CNC DOES NOT guarantee access to Wi-Fi although it is available. B. Distribution by the Vendor of any printed matter, souvenirs, or other articles must be confined to the assigned space. No undignified manner of attracting attention will be permitted. All exhibits must fit in the space provided. C. Exhibitors/Vendors shall reflect their company’s highest standards of professionalism while maintaining the exhibit during the symposium hours. D. Vendors must stay for the entire event. If an exhibit booth is broken down or left empty before 5PM, that company becomes ineligible for participation in the next Holiday Market. E. Exhibitors/Vendors shall arrange their exhibit so it does not obstruct the general view or hide the exhibit of others. F. All vendors must limit noise to an acceptable level. Acceptable level is defined as low enough that two people 8ft away from space can speak without having to raise their voices beyond a normal conversational level. G. Vendors are encouraged to use recyclable materials and avoid using single-use foodservice items. H. Vendors are responsible for cleaning their table and area by 6PM on Saturday, December 6.

      Neither will CNC, their staff members, nor the representatives and/or employees thereof be responsible for any injury, loss and/or damage that may occur to the Vendor, to the Vendor’s employees and/or property, from any cause whatsoever, prior to, during or subsequent to the period covered by this application/contract.

      Volunteer Opportunities

      Volunteers are vital in supporting the CNC mission to connect people with nature.
      Special Event Support(Required)
      Special events happen throughout the year. Volunteers needs include crafts, wayfinding, face painting, greeting, games, and much more!
      Special Event Specialized Areas
      Special events have a few specialized needs. Do you have the skill or are you interested in these more specific areas? If not, that is fine special events has lots of opportunities!
      Education Support or Docent(Required)
      Provide support throughout the week with education programs or become a Docent. Docents are volunteers who are stationed at a variety of exhibits on the grounds and in the Discovery Center or leading trail hikes on the grounds.
      Docent
      Docents work a variety of schedules, including weekends. They are expected to commit to working ~4 hours per month Docent orientation and training occurs twice a year: late summer and late winter. Continuous training is on-going. Docent selection may involve an on-site or phone interview, as well as a background check.
      Education Support
      Applicants must be 18 or older | Available Days and Hours are Monday-Friday; 9AM-1PM | Volunteers interested in supporting the logistics of our education programming at CNC by helping provide a welcoming and efficient field trip visit.
      Horticulture Support(Required)
      Support the Horticulture Department through the Unity Garden, Native Plant Gardening, Greenhouse, and Habitat Restoration.
      Unity Garden
      Tuesday and Thursday 8-11AM (9AM-12PM in winter) | A community garden that grows fresh food for donation to a local food pantry. Work with others to plant & harvest produce year round.
      Native Plant Gardening
      Wednesday, 8-11AM | Maintain the native plant gardens with nature in mind. Duties may include weeding, mulching, watering, planting, or grooming plants.
      Greenhouse Projects
      Wed 1-3PM & Thurs 9-11AM (rain or shine) | Work with Horticulture Curator potting plants, stepping up, propagation, and clean-up at the greenhouse.
      Habitat Restoration
      These dates occur monthly, usually on a Saturday or Sunday | Find dates on CNC calendar
      Tabling at Off-Site Events(Required)
      Share the CNC mission at events in the community. Must enjoy talking with people and be able to pick up tabling information at CNC in advance.
      Wildlife Support(Required)
      Applicants must be 18 or older. Applicants must be willing to obtain a current tetanus shot or provide proof of one in the last 10 years. There is a wait time of approximately 1 year for volunteer spots in wildlife. When an opening arises, all waitlisted volunteers that have indicated availability for that shift will be contacted for an interview.

I understand that individual volunteers at the Chattahoochee Nature Center must sign a liability waiver, as well as possibly complete an on-site interview and/or consent to a background check before beginning any volunteer work at CNC. I understand that I am not an employee and will not be paid for my services as a CNC volunteer. I agree to abide by all the volunteer policies and procedures of the Nature Center.
      2. Waiver & Liability(Required)
      The undersigned hereby acknowledges that participation in recreational and other activities conducted by or in conjunction with the Chattahoochee Nature Center, and travel to and from such activities, involves inherent risks of physical injury, illness, death or loss of personal property, and the undersigned assumes all such risks, including risks associated with activities conducted in remote locations. In consideration of the mutual benefits derived from participation by the undersigned with activities conducted by or in conjunction with the Chattahoochee Nature Center, the undersigned hereby absolves, releases and waives any and all liability, claims or demands against the Chattahoochee Nature Center and its officers, directors, agents, trip leaders, volunteers, contractors and employees from any and all claims, demands, rights and causes of action of whatsoever kind and nature arising from and by reason of any and all known and unknown, foreseen and unforeseen bodily and personal injuries, including death, damage to property, and the consequences thereof resulting from or relating to participation by the undersigned in any activities conducted by or in conjunction with the Chattahoochee Nature Center. I understand that the Chattahoochee Nature Center is not responsible for vandalism, break-ins, or theft of personal property. I also understand that the Chattahoochee Nature Center does not provide insurance for participants in its activities and the undersigned is required to and shall carry such insurance adequate for any eventuality for injury or illness as a result of such activities. I certify that I am eighteen (18) years of age or older, or my parent or guardian has signed below, and that I or my parent and/or guardian have read the above carefully before signing.
      3. Health & Safety Warning and Disclaimer(Required)
      The undersigned acknowledges that participating in Chattahoochee Nature Center programs or accessing Chattahoochee Nature Center facilities could increase the risk of contracting illnesses, including, without limitation, COVID-19. Chattahoochee Nature Center in no way warrants that illnesses and/or infections (including, without limitation, COVID-19) will not occur through participation in Chattahoochee Nature Center programs of accessing Chattahoochee Nature Center facilities.

      CONCEPTUAL PLAN

      Contestants will be selected based on construction types, portfolio, and incorporation of natural elements. We strive to find a balance between construction types.

      1. CONTRACT:

      The following rules and regulations become binding upon acceptance of this contract between the Contestant or Team Captain (Vendor), its employees and agents, and the Chattahoochee Nature Center (CNC)

      2. SPACE ASSIGNMENTS:

      Space will be assigned to Vendors. CNC reserves the right to assign or alter exhibit locations as it deems advisable and in the best interest of the exhibit.

      3. PRIZES:

      Vendors must submit a W9 with their entry form in the event that the entry wins a prize. Prizes are to be awarded by CNC to the Vendor by check no later than March 10, 2024. Vendors may elect to waive their prize winnings as a donation to CNC if they choose.

      4. CANCELLATIONS:

      Cancellations must be requested in writing and received on or before November 24, 2023. Requests should be made to Farah McIntyre at f.mcintyre@chattnaturecenter.org.

      5. SAFETY:

      Any/all construction materials shall be in good operable condition and will be reviewed by CNC upon installation.

      6. USE OF EXHIBIT SPACE:

      (A) Vendors will be asked to check on their fairy house once per month over the duration of the exhibit. Vendors will receive three passes to show at admissions to be admitted at no charge for the purpose of checking on the display. Vendors may maintain their exhibit only during regular operating hours of CNC. Pass is to be used by Vendors only. (B) Business/company/individual logos or other promotional information may only be included in the exhibit upon entry under the Business/Corporate category. All exhibits must fit in the space provided. (C) Vendors must hold themselves to the highest standards of professionalism while maintaining the exhibit during operating hours. (D) Vendors shall arrange their exhibit so it does not cause any safety issues or damage the natural environment in any way. (E) Vendors must remove all items between 3/1/2024 and 3/10/2024 at 5PM.

      7. REQUIRED BUILDING GUIDELINES

      Vendors have read and agree to adhere to the Fairy and Gnome Home Building Guidelines found on the Enchanted Woodland Trail Exhibit page at https://www.chattnaturecenter.org/special-events/enchanted-woodland-trail/.       8. AMENDMENTS TO REGULATIONS:

      Any and all matters and questions not specifically covered by the articles in this contract shall be subject to the decision of CNC. They may, in the interest of the exhibit, amend the aforementioned items covered by this contract at any time, and notice thereof shall be binding on Vendors equally with the foregoing rules set forth in this contract. CNC reserves the right to refuse space.
